Who we are
Sentry is a Discord bot and web dashboard for managing and moderating Discord servers. It is operated by TheSizAgency. You can reach us at [email protected].
This policy explains what information Sentry handles, why, and what choices you have. It covers the bot and the website at sentryone.dev.
Information we handle
Sentry only handles information needed to run the features a server has turned on.
- Discord identifiers: user IDs, server IDs, channel IDs, role IDs and message IDs.
- Usernames, shown in some logs and audit entries.
- Moderation records: warnings with their reasons, cases, temporary bans, blacklist entries, and automod violation counts.
- Activity data: XP and levels, voice time, badges, boosts, invite counts and who invited whom, giveaway entries, and poll and suggestion votes.
- Text that you or a server member choose to submit to a feature: ticket subjects and descriptions, suggestions, reminders, and clan applications.
- Server configuration: settings, channel and role choices, welcome messages, and backups of role and channel structure.
- When you sign in to the dashboard with Discord: your Discord user ID, username, display name and avatar, the servers where you have the Manage Server permission, and a Discord access token that we keep only to refresh that server list. They are deleted when you sign out or after 7 days.
Message content
Sentry reads message content as it arrives so that features such as automod, filters and XP can work. We do not keep a permanent copy of messages.
To support deleted and edited message logs, the bot holds a small recent cache of messages in memory. It is not written to our database and is cleared whenever the bot restarts.
If a server turns on message logging, the server posts logged content into its own Discord channels. That content is then controlled by the server and by Discord.
Ticket transcripts are generated when requested and delivered through Discord. We do not store them.
How we use it
We do not sell your information, and we do not use it for advertising.
- To provide and operate the features a server has enabled.
- To keep the service secure and to prevent abuse.
- To fix problems and improve Sentry.
Who can see it
Server owners and moderators who use Sentry can see information about members of their server, such as warnings, cases and activity. Servers are responsible for how they use that information.
We use service providers to run Sentry: Discord, our hosting and database provider (Railway), and Cloudflare for DNS and email routing. They process information on our behalf. We may disclose information when the law requires it.
Cookies
When you sign in to the dashboard we use a session cookie that keeps you signed in for up to 7 days. It is strictly necessary for the dashboard to work. We also use a short lived cookie during sign in to protect against forged requests. We do not use advertising or analytics cookies.
The dashboard also stores display preferences, such as whether the sidebar is collapsed, in your browser. These stay on your device.
How long we keep it
We keep server data while Sentry is in the server and the data is needed for its features.
If Sentry is removed from a server, we keep that server's data for 30 days in case it was removed by mistake. If Sentry is not added back, all data for that server is then deleted automatically.
Moderation and safety records, such as warnings, cases, bans, blacklist entries, violation counts and audit entries, are kept for as long as the server needs them to keep its community safe.
Your choices and rights
You can delete your own data at any time by running the /deletedata command in any server that has Sentry. It removes your activity data, such as XP, badges, votes, suggestions, tickets, reminders and clan data, across every server. It does not remove moderation and safety records.
You can also ask us to show you the information we hold about you, correct it, or delete it, including moderation records where the law requires it. Email [email protected] and include your Discord user ID. Server owners can ask us to delete all data for their server. We aim to respond within 30 days.
Depending on where you live, you may also have the right to object to or restrict certain processing, and to complain to your local data protection authority.
Children
Sentry is meant for people who are old enough to use Discord, which requires a minimum age of 13 or higher where local law sets it. We do not knowingly collect information from anyone below that age. If you believe we have, contact us and we will delete it.
Security and transfers
We take reasonable steps to protect the information we hold, but no system is completely secure. Our providers may process information in countries other than your own.
Changes
We may update this policy. The date at the top shows the latest version. Material changes will be announced on this site.
